Introduction:
Section A: Early Termination
Section B: Renew an Agreement
Section C: New Agreement
Section D: Updating or Creating the Transfer Agreement/Memorandum of Understanding (MOU)
Section E: Record in Transfer Alberta and Internal Database
Section A: Early Termination
When a Post-Secondary Institution (PSI) decides to terminate a transfer agreement/MOU early. This may be the result of:
- Program availability changes
- Program content changes
- Regulatory changes
- Industry changes
- Or other factors
Step 1. Communicate the decision to the Partner PSI. Proceed to Section E.
Section B: Renew an Agreement
When a transfer agreement/MOU is set to expire, and your institution would like to renew it.
Step 1. Contact the Partner PSI and confirm if they would also like to renew.
- If NO, the transfer agreement/MOU is not renewed. Proceed to Section E and update record with End Date.
- If YES proceed to Step 2.
Step 2. Review any program changes between both institutions. After the review is complete, do both PSIs still want to proceed with the renewal?
- If YES, proceed thru Section D.
- If NO, the transfer agreement/MOU is not renewed. Proceed to Section E.
Section C: Create a New Agreement
When the opportunity for a new transfer agreement/MOU is identified.
Step 1. Complete an initial overview of the program at the other PSI.
Step 2. If the program looks to be a good fit, contact the partner PSI and ask if they are interested in creating a transfer agreement/MOU with your institution.
- If YES, proceed to Section D.
- If NO, the process ends here. No transfer agreement/MOU is created with Transfer Alberta. A record of the decision would only be recorded in any internal institutional databases.
Section D: Updating or Creating the Transfer Agreement/MOU
Your institution and the Partner PSI have agreed to:
- renew an existing transfer agreement/MOU, or
- create a new transfer agreement/MOU.
Step 1. Map out what the pathway will look like between the two institutions.
This may include:
- What courses need to be completed by the student
- What program needs to be completed by the student
- What program the student will be admitted into
- When the transfer agreement/MOU will take effect
- Other program-specific conditions the student needs to meet
Step 2. Send a draft of the transfer agreement/MOU to the other PSI.
Step 3. After reviewing any changes proposed by the Partner PSI, finalize the transfer agreement/MOU and send it to the Partner PSI. Proceed to Section E
Section E: Record in Transfer Alberta and Internal Database
Record approved or denied decisions in applicable internal institutional databases.
Record ONLY approved/updated decisions in Transfer Alberta/LPS.
